Roles That Can Manage Subscription Services: Manager, Admin, Owner



Subscription services are services delivered on a regular basis for a recurring payment, be it weekly, monthly, quarterly, or yearly. Your subscriptions will be shown on your Service Catalog and on the stand-alone order pages. You can share your Service Catalog through a link or embed it on your website, while logged in clients can access the Service Catalog directly on the platform. How To Create A New Subscription Service?



To create a new subscription Service:

Select the Services tab in the left sidebar under the Settings & Customization section,
From the dropdown menu, select Overview,
On the new page, select the "Create service" button in the top right corner.



General Settings



At the top of the page, switch to the "Subscription" service type box,
Enter the name of your subscription Service,
Select the default billing cycle for this Service from the dropdown menu. You can choose between None, Weekly, Monthly, Quarterly, or Yearly,
Check or uncheck the "Show percentage discount" box to either include the discount or not; you'll be able to enter the value in the further section,



In the next section, create Packages by selecting the plus icon. You can also:

Change the order of the packages by drag-and-dropping them with your cursor,
Duplicate a package by selecting the duplicate icon that appears when hovering over the package's name,
Delete a package by selecting the trash icon that appears when hovering over the package's name,
Enter the name of the package in the "Name" field,
Describe your package in the "Description" field.



Then, decide if you want to include extra options per each of your package:

Free trial: toggle the switch button to turn this option on. In the new field, enter the number of days of the free trial.
Package highlight: toggle the switch button to turn this option on. In the new field, enter the text that will appear above the package in your Service Catalog, as well as check or uncheck the "Add an accent color" box to make the package stand out even more.
Enable pausing subscription: toggle the switch button to make it possible to temporarily suspend a subscription. If enabled, you'll be able to check or uncheck the "Enable pausing for clients" box to allow clients to suspend their subscriptions on their own. Next, set up the billing cycle for this specific package. Check the box of the recurrence you want, be it weekly, monthly, quarterly, or yearly — you can check more than one. This will prompt new fields to appear, where you can enter the value. If you check the "Enable sale prices" box, you'll also have new fields to enter the value of your discounts.



Then, you can set up requests limits to manage your workload. First, toggle the switch button to enable this option. Then, enter the values of each limit:

Max number of completed requests: decide how many requests will you complete per week, month, quarter, or a year,
Max number of concurrent active requests: decide how many requests you will work on at the same time,
Total (pending + active) concurrent requests: decide how big your request queue can be.



Note that the pricing, discounts, free trial, package highlight, subscription pause, billing cycle, and request limits have to be set individually per each package.

That's how you package will appear in your Service Catalog:



Lastly, specify your preferences in the Finance settings section.

Currency: decide which currency should be default for this Service. You can find the complete list of supported currencies here,
Tax support: disable or enable this option to include tax support for any percentage-based tax for this Service,
Payment method: decide which payment methods should be available to your clients: Stripe or manual payments. You can adjust your payment method settings in Workspace → Finances → Payment methods.
Issue invoice: decide whether you want to never issue an invoice for that Service, or issue it automatically after payment.

Order Page Settings



To manage your Order Page settings, switch from the "General" tab to "Order page".

There, you'll find the Stand-alone service URL that you can send to your clients. They'll be able to order this specific service without accessing the rest of your Service Catalog.

By default, the last part of the URL is the same as the name of your Service, but you can change it manually.



You can use the stand-alone service URL to preview your Order Form.

Service Catalog



Toggle the switch button to make this specific Service visible on your Service Catalog.

This action will prompt new fields to appear:

Service thumbnail: upload an image to be shown on the main page of the Service Catalog. Allowed formats are JPG and PNG, while maximum allowed size is 2560×2560px. Image musn't weight more than 1MB. You can delete it by selecting the "Remove" button.
Service short description: write a short description to be shown on the main page of the Service Catalog. The limit is 140 characters.



That's what your service thumbnail and service short description will look like in your Service Catalog:



Service Order Page



Service image: upload an image to be shown next to the Order Form, where your clients will submit their order or request. Allowed formats are JPG and PNG, while maximum allowed size is 2560×2560px. Image musn't weight more than 1MB.

Service description: describe the Service in 1500 characters or less. You can list what exactly your Service covers, your terms and conditions, how long your clients will wait for a reply, or anything else you wish. You can format the text using bold and italics formats, include a link, create a bullet and ordered lists, and add a blockquote.



That's what your service image and service description will look like in your Service Catalog:



Order Form



In the last section, you can create and manage your Order Form for this service. Use it to gather all the necessary information to be able to deliver your request as soon as possible.

You can:

Show or hide the Order Form in your Service Catalog by toggling the switch button,
Manage the order of the form fields by drag-and-dropping them,
Create new fields by selecting the "Add new form field" below the Order Form,
Edit the existing form field by selecting the pen icon,
Delete the existing form field by selecting the trash icon,
Mark the form field as required

You can use the following form field types:

Title: you can ask your client to name their request,
Heading: you can include a heading to better divide the sections of the Order Form, if there are many,
Paragraph: you can include a longer piece of text to add more information about the Order Form itself or about the Service,
Short message: you can use it for simple open-ended questions for your clients,
Long message: you can use it for open-ended questions that require longer answers from your clients,
Divider: you can use it to better divide the Order Form into sections or group the fields better,
URL/Link: you can ask your clients to paste a link to external sites or resources,
Single select: you can ask your clients to choose one option out of several,
Multi select: you can ask your clients to choose many options out of several,
File upload: you can ask your clients to upload any necessary files.



Subscription Requests Settings



To manage your Subscription Requests settings, switch from the "Order page" tab to "Subscription requests". Here, you'll be able to manage and customize the process of ordering a request within a subscription service for your clients.

Request Submission Page



Request image: upload an image to be shown in a pop-up window that appears after a client selects the "Submit request" button in their dashboard. Allowed formats are JPG and PNG, while maximum allowed size is 2560×2560px. Image musn't weight more than 1MB.

Request description: describe the request in 1500 characters or less. You can list what exactly your request may include, how long your clients will wait for a reply, or anything else you wish. You can format the text using bold and italics formats, include a link, create a bullet and ordered lists, and add a blockquote.



That's how it'll look in app for your clients when selecting the "Submit request" button in the top right corner of their dashboard:
