Orders
The Orders tab gives you a central place to track and manage all client purchases — whether they come from the Storefront or were created through Quotes. It's designed to simplify your workflow by consolidating all sales activity in one view.
This guide will walk you through how Orders work and where to find key information.
Roles that can manage Orders: Owner, Admin, Manager
Additionally:
Agents will see orders that contain requests assigned to them.
Clients will have access to the orders they’ve purchased.
What is order tab?
The Orders tab brings together all confirmed client purchases, including:
- One-time orders made via Storefront,
- Orders created through accepted Quotes,
- Active and past Subscriptions.
It replaces the previous Subscriptions tab and adds more visibility and control to your sales flow.
You can find Orders in your main sidebar, just below Requests & Messages.
How it works
The Orders tab consists of two views:
- All — shows all orders, including one-off purchases and subscriptions.
- Subscriptions — shows detailed information specific to subscription-based services..
Each view displays a table with key information like:
- Service name or quote title
- Order number
- Client name and organization name
- Price
- Payment status (automatic)
- Order status (manual)
- Source (Storefront or Quote)
You can filter and sort orders by type, client, payment or status to quickly find what you need.
Orders details
Clicking on any row opens a detailed view of the order, where you can:
- See order source and type
- View client and payment information
- Access the linked Request, Invoice, or Quote (if available)
- Review and update the order status (for one-off orders)
- Check the full status history — including who made each change and when
For subscriptions, you’ll also see:
- Start and end dates
- Next payment date
- Request limits
Available actions
From the Orders view or inside a specific order, you can:
- Copy URL — useful for sharing internally or with the client
- View linked items — open the associated request, invoice, or quote
- Change order status — for one-off & subscription orders
- Rename order — add and update custom name
- Download invoice PDF — when available
- Archive / unarchive an order — to keep your view clean
Customizing order status
To help you better track the progress of your Orders, Zendo lets you create and manage your own custom statuses.
In the Manage order statuses popup, you can:
- Search and select which statuses are available for your Orders.
- Create new statuses by clicking Create new status if none of the existing ones fit your needs.
- Set a default status — this status will be automatically assigned whenever a new Order is created.
- Edit label and description of each status.
Each status can be styled with a color, and descriptions are optional — handy if you want to give your team a bit more context. You can manage your statuses at any time using the gear icon next to the “Order status” column in the Orders list.
Creating orders through the Storefront or via Quotes
When a client purchases a service via the Storefront, an Order is created automatically at checkout — either right after quote issuance or once the upfront payment is made. In contrast, Quote-based Orders are only created when a Quote transitions to the Pending Payment status, either by being accepted or sent with payment enabled.
Payment status vs Order status
Each order has two types of statuses:
- Payment status — automatically updated based on payment events in quote
- Order status — manual, fully customizable to match your workflow (e.g. "In progress", "Ready to deliver", "Done")
You can configure and assign custom order statuses from the Orders tab, or directly from the order details view.
The Order history section logs every change, including who made it and when — giving you full traceability.
Archiving orders
To keep your Orders list clean and focused, you can archive completed or inactive orders.
- Archiving doesn’t delete the order — all details, history, and links remain intact.
- You can archive an order from the order details view using the Move to Archive option.
- Archived orders are hidden from the main view by default.
To view archived orders, click the archive icon in the top right corner of the Orders list.
To restore an order, use the Restore from Archive option in the order view — it will reappear in the active list.
